What is a Tour?

On Zenlist, a Tour is a folder or a group of listings that you plan to take your client(s) to see in person.

Why should I use Tours?

Zenlist’s Tours help you not only organize your showings, but further optimize the process for you and your clients.

Some of the features that accomplish this include:

  • Unlimited listings and additional stops

  • Full access to listing details (no need to print listing sheets!)

  • Route optimization through Google Maps

  • Access the showing instructions from the listing agent, including a ShowingTime integration (in select markets)

  • Space to leave showing notes on listings, like lock box codes or special notices from the listing agent

  • Record the status of each appointment as requested or confirmed

  • Add your Tour to your electronic calendar(s)

  • Automatic driving directions Google or Apple Map

  • Full access to your Tours on Zenlist’s mobile app

  • Easily share all of this information with your clients

What is a Tour Request?

As Clients review the properties within their search feed, they can select and request a tour on their chosen properties by using the “Request Tour” button at the top of Listing Details.

Clients will also include an urgency for how quickly they would like to see the property, to help make scheduling your appointments easy!

Do I get notifications when my client requests a tour?

By default, you will be sent an email and push notification for each Tour Request!

You can also find these details in your Notification Center.

How do I find Tour Requests from my clients?

In addition to your default notification preferences, you can find all of your client's Tour Requests grouped together in the “Tour Requests” folder of their listing feed:

How do I create a Tour Folder?

You can create a Tour Folder in one of two ways; See the options below to choose the best path for you!

Create a Tour folder by selecting Multiple Properties (recommended):

  1. Select the properties you want to put in your Tour

  2. Click to “Add To Tour” when viewing the listings you have selected

  3. Select the client’s name

  4. Choose a date for your tour

  5. Next, you will be prompted to view the tour folder and further customize

Create an empty Tour Folder:

  1. Open the “Tours” section of your account, in the main navigation menu of your account

  2. Click the “+” sign in the top left corner of your Tours

  3. Select the client’s name

  4. And choose a date for your tour

  5. Once your Tour is created, you can navigate back to your client’s feed or search tab to add the listings you need to schedule

Can my clients create a Tour folder?

No, clients will not be able to create their own Tour folder. Clients can, however, view the Tours that you create for them.

What information can my clients see in the Tour folder?

In a Tour folder, clients can view:

  • Listing statuses

  • Listing Addresses

  • Open House information, if any

  • Times designated for each listing

  • Tour status designated for each listing

  • Driving directions and route details

  • “Add to calendar” integrations

How can I share my Tour with clients and co-agents?

Once created, your Tour is immediately shared with your client(s) and any co-agents you have invited on the feed. All of the other feed members will also be notified via email that there is a new Tour for them to review.

How do I add additional stops or listings to my Tour?

Once your tour folder is created, you can add additional listings in two ways:

  1. “Selecting” the properties from your client’s feed that you wish to add and clicking to “Add to Tour”

  2. Or, by clicking “Add a listing” in your Tour folder, just above the map of your route

If you would like to add a stop along the way that is not a listing, you can click to “Add stop” and search for the address of your favorite lunch spot, a property listing “For Sale By Owner” or anywhere else you need to stop along the way!

How do I optimize my Tour route?

Zenlist can help you to automatically optimize your tour route by following these steps:

  1. Confirm that your starting location and stopping location align with where you are generally beginning and ending

  2. Overlaying the map will be a button to “Show Route”

  3. And then that same button will update to “Optimize Route” and clicking here will reorganize the orders of the listings you are seeing based on what Google Maps recommends

Pro Tip: If you are carpooling, enter your meeting location as an additional stop in your starting location and stopping location. Google Maps will keep the first and last stop in the same spot, so this ensures that you will begin at your meeting location and end up at the same location in the best route possible!

Note: You must have at least 4 stops in your tour for the route to be optimized. Route optimization will not account for Open House times or Broker Tour times (in SFAR).

How do I update my tour status?

Once your listing is added to your Tour folder and you have requested your appointment with the listing agent, update the column called “Tour Status” to leave a note to yourself and your clients if this showing is “Requested” or “Confirmed”.

How do I see the showing instructions on listings in my Tour folder?

When looking at your Tour folder, you will see a column named “Showing Instructions” that will share with you:

  1. Private agent remarks

  2. The listing agent’s name

  3. The listing agent’s email address and phone number

  4. A link to schedule your showing in ShowingTime, if available

  5. An option to send the agent a chat message in Zenlist, if the agent is a Zenlist user

How can I make notes on properties on the Tour?

Leave lock box codes and special notes that you want to remember for this showing in the “Notes” section of your Tour folder. These details are not shared with your clients but will be shared with any Co-Agents on the client’s feed.

How do I add my Tour to my calendar?

At the top of your Tour folder, click “Add to calendar” to create an event in your preferred calendar application. Choose from Google, Yahoo, Outlook and iCal.

This calendar event will include your entire Tour route:

  • Each stop, listed in order

  • Stop times

  • Tour status(s) entered

  • Listing IDs

  • Links to each listing in Zenlist

Pro tip: Invite any other people to this calendar event you like! Just be sure to remove any private comments left to avoid accidentally sharing lock box codes with clients.

How do I access the driving directions on the day of my Tour?

On the day of your Tour, you won’t need to remember each address or waste time typing any of your stops into your phone. Zenlist does that for you!

From the mobile app:

  1. Open your Tour folder from your mobile app

  2. Click the “...” menu in the top right corner

  3. Click to “Open in” your preferred directions app

  4. Start your route and hit the road!

From your laptop or computer:

  1. Open your Tour folder from your computer

  2. Click on (...) upper right-hand corner and then “View in GMaps”

  3. Start your route and hit the road!
